The invoice they should pay is sent, not a draft. A deposit invoice is the deposit, not the whole quote, when the quote says so.

How the shop runs it

The service report is the visit they had, with the photos you mean them to see.

What to skip

Warranties you want them to keep are in their documents. A purchase order file stays off the portal.

Where to go next

The link does not expire. Tell them they can come back for the invoice and the next visit. They pay there or on the pay link.

Can they accept a quote in the portal?

Yes, when you sent the quote. If the quote asks for a deposit, accepting creates that deposit invoice.
